This notice explains what personal data Sermarine Shipping Ltd collects when you contact us, work with us or visit this site, why we use it, who we share it with and what your rights are.
Contents
1Who is responsible for your data
1.1Sermarine Shipping Ltd is the controller of your personal data. Sermarine Shipping Ltd is registered in England and Wales, company number 08935103. Registered office: Britannia House, 11 Glenthorne Road, London W6 0LH.
1.2For any question about this notice or your data, use the enquiry form on our contact page or write to our registered office.
2What we collect
2.1When you contact us or work with us: your name, job title, company, email address, phone number and the content of our correspondence.
2.2When you use the enquiry form on our contact page: your name and email address, and whatever else you choose to give us there, such as your company, phone number and the details of your ship and call.
2.3When we handle a call for you: details of the vessel, its cargo and the call, and the names and contact details of the people involved, such as your operations staff, the master and, where a call needs it, crew members.
2.4For payments and accounts: the details of the payments you make to us and the documents that go with them.
2.5When you visit this site: technical information such as your IP address, browser, device and the pages you view (see section 5).
3Why we use it, and our legal basis
3.1To handle your enquiries, nominations and calls, and to send you PDAs and FDAs: to take steps you ask for before a contract and to perform it.
3.2To keep accounting and tax records and to meet our legal obligations, including sanctions checks: because the law requires it.
3.3To keep in touch with the people we work with in the shipping industry, and to run and protect this site: our legitimate interests in running our business. We only do this where those interests are not outweighed by your rights.
3.4We do not sell personal data, and we do not use it for automated decisions that have legal or similarly significant effects on you.
4Who we share it with
4.1SARL Sermarine, our sister company in Algeria, which carries out the services at the port.
4.2The port authority, the terminal, customs, other authorities and the service providers involved in a call, as far as they need it for that call.
4.3Our accountant, our banks, and the providers of our website, email and IT services (including Automattic’s Akismet, which checks form submissions for spam), who act on our instructions.
4.4Professional advisers, insurers and authorities, where it is needed to establish or defend legal claims or where the law requires.
5This website
5.1The site is hosted by Bluehost. Like most web servers, it keeps logs of requests, including IP addresses, to run and secure the site.
5.2We use Jetpack, from Automattic, to count visits and see which pages are read (Jetpack Stats), to protect the site against attacks, and to serve images faster through the WordPress.com network. These services receive your IP address and information about your browser.
5.3Our weather page shows a map from Windy.com, which receives your IP address and may set its own cookies when the map loads.
5.4Our enquiry form sends what you type to our London office by email, and keeps a copy in the site’s database so the enquiry can be followed up. Each submission is checked for spam by Akismet, from Automattic, which receives the submission, your IP address and technical details of your browser.
5.5Our cookie notice has more detail.
6Transfers outside the UK
6.1Because our calls take place in Algeria, we transfer the data needed for a call to SARL Sermarine and to the port and authorities there. We do this because it is necessary to perform the contract for your call.
6.2Some of our service providers, including Automattic, may process data in the United States or elsewhere. Where they do, we rely on the safeguards recognised by UK law that they offer, such as the UK Extension to the EU–US Data Privacy Framework or standard contractual clauses.
7How long we keep it
7.1We keep the records of each call and our accounting records for as long as the law requires, normally at least six years after the end of the financial year they relate to.
7.2We keep correspondence with our contacts, including enquiries sent through the website form, for as long as we work together and for a reasonable time after that. Website logs and statistics are kept for a limited period by the providers above.
8Your rights
8.1You have the right to ask for a copy of your personal data, to have it corrected or deleted, to restrict or object to how we use it, and to receive it in a portable form. Some of these rights depend on the circumstances and on our legal obligations.
8.2To use any of these rights, use the enquiry form on our contact page or write to our registered office. We reply within one month.
8.3If you are not satisfied with how we handle your data, you can complain to the Information Commissioner’s Office: ico.org.uk. We would appreciate the chance to put things right first.
9How we protect it
We limit access to personal data to the people who need it, and protect our systems with access controls and up-to-date software.
